Sailfish Swim School at City of Coffs Harbour Pools

(Coffs Harbour War Memorial Olympic Pool, Sawtell Pool, Woolgoolga Pool)

Sailfish Swim School is committed to providing a child safe service to all children and young people accessing our program and pool sites.

Facility rules, terms and conditions apply to all patrons (students and their families/carers) entering the pool sites.

Sailfish Swim School reserves the right to change the terms and conditions from time to time. In the event of changes, you will be notified by one or some of the following in advance: Facebook, e newsletter, venue notice, email, website.

PROGRAM BOOKINGS: Sailfish Swim School runs a program based on school terms. Bookings are for a full term. Bookings can be on either a perpetual (continuous) or term based booking. Bookings are taken a week in advance, with payment expected for all booked classes. Bookings need to be rebooked each term to hold a spot in the program.

Lessons do not operate on public holidays and fees are not charged for these days. Holiday program bookings may be available during school holiday times.

PAYMENT: All payments are non-refundable and non-transferable, payments are either by fortnightly direct debiting of a bank account or an upfront payment at the commencement of the term.
Any outstanding fees must be paid before a student can be booked into the program.
Direct debit bookings will have an initial pro rata payment before account debiting begins. This payment must be made at time of booking or before the first class. A rejection fee will be applied to any direct debit rejections at time of billing.
Upfront term fees not paid by the end of week 2 will result in the booking being cancelled.
Casual lessons must be paid for at the time of booking or before the class.
Holiday program bookings must be paid for at the time of booking

SERVICES NSW VOUCHERS: Terms and conditions set by Services NSW apply. Voucher can only be used for the named person. Vouchers are not refundable once redeemed.
Active Kids Vouchers
• Term bookings apply (must book a term of swimming – usually 10 weeks duration)
• Booking must be for a minimum of 8 weeks if during school term
• Booking must be for a minimum of 5 sessions or a minimum of 4 hours if during school holidays
• Voucher will cover some of the booking fee, families will need to pay the balance

CANCELLATION OF BOOKING: One week’s notice is required when making a request to cancel out of the program.
Cancellation requests must be in writing and can be submitted via the Swim School email address.

INCLEMENT WEATHER: Sailfish Swim School may cancel classes in the event that weather conditions are unsuitable for lessons.
Families will be notified of class cancellations as soon as possible before the class.

TEACHER ABSENCE: In the event that a Learn to Swim Teacher is absent, classes will be taken by another instructor. If no teachers are available, classes may be consolidated or cancelled.
Families will be notified of class cancellations as soon as possible before the class.

CLASSES CANCELLED: Classes cancelled by Sailfish Swim School due to weather, pool closure, teacher unavailability or pool maintenance issues will either be credited or a make-up class offered.

MAKE-UP LESSONS: Class absences will not be credited or refunded. Make-up classes may be available, or the class is forfeited.
Make-up classes are available based on the following conditions:

  • Notification of an absence is required via email, the parent portal or by phone
    • At least 1 hour’s notice of an absence prior to the class time is required to be eligible for a makeup class
  • A maximum of 2 make-up classes per student are available per term.
  • Make-up classes must be booked within 30 days of the eligible absence and within the current term where practicable
  • Make-up classes can be booked before or after the notified absence. Bookings can be made a week in advance (offered class times are for the current week at time of booking request)
  • Make-up classes are non-refundable or transferable
  • Make-up classes that are not attended are unable to be rescheduled
  • Make-up classes are subject to program availability. There is no guarantee that places will be available at suitable times
  • Make ups/refunds or credits are not available for holiday intensive programs
  • Medical certificates/written requests can be submitted for consideration by the Swim School Coordinator

PHOTOGRAPHY: Photography, including that from mobile phones, laptops, or any other image capturing device is NOT permitted without the express permission of City of Coffs Harbour Pools Staff.
Devices are not permitted to be used in any change rooms
Please note CCTV may operate in our facilities

LESSON ETIQUETTE: 

• All participants must check in at reception prior to class
• Students must not enter designated lesson areas until lesson commencement
• Students should be in appropriate swimwear, and bring their own goggles to classes
• Long hair should be covered by a swim cap, or tied back from the face
• All students not toilet trained must wear a swim nappy whilst in the pool

SUPERVISION: All students must be supervised by a responsible adult while at our facilities. A responsible adult must be on site and supervising during class and free play times.
All equipment and facilities are used at your own risk.
School aged children are required to use their gender appropriate bathroom & family bathrooms are available.
Covering children when getting changed on pool deck is encouraged. When using pool deck showers, it is recommended that children remain in their swimmers whilst showering.
Students enrolled in the program have free entry to the pool sites for casual swim visitation only, outside of lesson attendance.

Any accompanying swimming adults of children over 5 years of age will be charged pool entry.
Free entry does not apply to programmed activities e.g. swim squad, carnivals, or water polo attendance.

TEACHING METHODS: For the purpose of delivering our program, Swim Teachers will use appropriate physical contact with students in order to provide instructions. This contact will be in relation to safety and education.
Where possible and appropriate, Swim Teachers will make every attempt to obtain a child or young person’s consent prior to engaging in physical contact, unless in an emergency situation or to provide a rescue.
Where appropriate, Swim Teachers will ensure that each student understands what assistance is being provided, where the physical contact will occur and why it is necessary in relation to the specific skill being taught.
Physical contact is considered appropriate if it is necessary to promote a child’s development of skills, to ensure the child’s safety, and if it is performed with the consent of the child.

ILLNESS: In order to protect our staff and other students, we reserve the right to refuse entry to a swimming lesson to any student who is not well. Teachers will exercise their discretion to remove a student from a class if they deem them to be unwell.
Students should not attend class if they have had or have:
• vomiting, diarrhea or conjunctivitis within the previous 7 days
• a high temperature
• any infectious diseases
• a heavy cold
• an open wound
• are generally unwell

BEHAVIOUR: Learn to Swim Teachers are supporting students displaying disruptive or unsafe behaviours with a variety of strategies. These strategies will be varied according to the situation and individual students. Strategies may include redirection, missing out on an activity, or sitting out of the class for a short time.

Students may be removed from class if their behaviour continues to be disruptive or unsafe. Behaviour support plans may be developed where applicable. Learn to Swim Teachers may ask for parent/carer assistance in dealing with a student’s behaviour.

ASSESSMENTS: Students are regularly assessed within the program, with formal assessments occurring towards the end of each term. Families will be notified when students are ready to progress to another level of the program.
As a courtesy to our teaching staff parents are asked not to approach any teacher while they are teaching.

City of Coffs Harbour Pools staff will ask parent/carer permission before images or video footage are taken or used.
Please notify us in writing if you do not wish to have your or your child’s image used.

WAIVER AND RELEASE: During all such times that you are on City of Coffs Harbour Pools premises both your property and your person shall be at your own risk.
You agree that City of Coffs Harbour Pools shall not be liable for any loss, damage or theft of any property belonging to you or your guest (including minors) occurring on City of Coffs Harbour Pools premises except where caused by gross negligence of City of Coffs Harbour Pools.
Additionally, City of Coffs Harbour Pools shall not be liable for any death, personal injury or illness occurring to you or you guest (including minors) on City of Coffs Harbour Pools premises or as a result of the use of any facilities or equipment provided by City of Coffs Harbour Pools, except to the extent that such death, personal injury or illness occurs from the gross negligence of City of Coffs Harbour Pools.

COMPLETE AGREEMENT AND SEVERABILITY: The terms of this Agreement constitute the full agreement between you and City of Coffs Harbour Pools, and no oral promises are made part thereof. If any part of this Agreement is deemed to be invalid or unenforceable by law, the provisions will be deleted from the Agreement but such deletion will not affect the validity and enforceability of the remaining provisions.

The most up to date terms and conditions for Sailfish Swim School will always apply. By enrolling into subsequent terms, you are agreeing to the current terms and conditions that apply at that time. You will find copies of the most up to date terms and conditions at our sites and on our website.
By enrolling in the Sailfish Swim School program you are accepting the terms and conditions detailed above.
Sailfish Swim School values your privacy and we take great care with any personal details that you provide. Your details will not be sold or disclosed to third parties and are only accessible to authorised staff members. Your details will only be used by Sailfish Swim School for the intended purpose under which they are provided.

PHOTOGRAPHY, IMAGES AND VIDEO FOOTAGE GUIDELINES

The following guidelines apply at City of Coffs Harbour Managed Pools sites (Coffs, Sawtell and Woolgoolga Pools)

PHOTOGRAPHY: Photography, including that from mobile phones, laptops, or any other image capturing device is NOT permitted without the express permission of City of Coffs Harbour Pools Staff.
Devices are not permitted to be used in any change rooms
Please note CCTV may operate in our facilities

IMAGES AND VIDEO FOOTAGE: Images and/or video footage of students may be used for promotional and/or educational purposes ie website, promotional flyers, social media, and staff education.
City of Coffs Harbour Pools staff will ask parent/carer permission before images or video footage are taken or used. Please notify us in writing if you do not wish to have your or your child’s image used.
It is not the intention of City of Coffs Harbour Managed Pools to prevent patrons from taking photos or video footage of their family members, school groups or group members, but rather to put in place photographic practices that are carefully managed, to ensure privacy rights of other patrons and City of Coffs Harbour Pools staff, and to have effective prevention measures to deter anyone with undesirable intentions from taking and publishing inappropriate images.

Implementation:
• Signage prominently displayed on City of Coffs Harbour Managed Pools sites
• Groups entering into hire agreements with City of Coffs Harbour Managed Pools are made aware of these guidelines upon hiring
• Learn to Swim Families are made aware of these guidelines via Program Terms and Conditions
• The taking of photographs or video footage should be authorised by a City of Coffs Harbour Pools Staff member – permission sought by patrons beforehand
• Patrons will be asked to take images of their family members and persons under their direct care only
• City of Coffs Harbour Pools Staff can request not to be in images taken or recorded
• City of Coffs Harbour Pools Staff may approach patrons to make them aware of site guidelines regarding taking and recording of images
• If City of Coffs Harbour Pools Staff become aware of any persons who appear to be taking or recording images of unrelated persons, swimmers or minors and they believe the image taking may be inappropriate or unwarranted, they may approach the person to enquire what they are doing and why they are taking/recording images.

Team Leaders/Duty Manager will be notified. Police may be contacted. Incidents will be documented.
Where City of Coffs Harbour Managed Pools are taking images of clients:
• Patrons will be informed of how the images will be used and ensure patrons provide permission before any images are taken – Photography Release Form to be signed
• City of Coffs Harbour Pools Staff will not use personal phones or recording equipment to take images
• Images will only be loaded onto City of Coffs Harbour Managed Pools computer equipment
• Images will only be used for the purpose permission was gained for

COMPLAINTS PROCESS FOR PATRONS
• If a patron suspects an individual is filming or taking photographs inappropriately whilst in City of Coffs Harbour Managed Pools sites they are asked to approach a city of Coffs Harbour Pools staff member and
raise their concerns
• City of Coffs Harbour Pools staff will respond to the matter in an appropriate manner
• If there are reasonable concerns that an individual is filming or taking photographs indecently and/or in private areas such as changerooms or showering areas, the authorities will be alerted
• Incidents will be noted
